Recruitment & Administration Coordinator

Department: Human Resources

The position of Recruitment & Administration Coordinator sits within the Human Resources department. Overall, this position is required to be multi-skilled and assist with general human resource management, but will primarily focus on the key elements associated with the specific job roles.

Under the direction and guidance of the Recruitment Manager, the Recruitment Coordinator is responsible for conducting the entire recruitment process. This includes compiling job vacancy information (both internal and external), coordinating and advertising job vacancies, monitoring, responding to and filing/archiving all employment applications, coordinating, scheduling and conducting interviews in conjunction with other Zoo Managers and Heads of Department, liaising between potential and new staff and managers, conducting reference checks, seeking final senior management approval of applicants, compiling and issuing of contracts, maintaining current employment and recruitment databases, coordinating the process for any transfers for current employees, and ensuring all new employees are advised and notified of Induction and provided with all required information, and hand over all new staff information to the Training Manager.

As the key Administration officer, you will be primarily responsible for providing administrative and clerical services to ensure our department is able to operative effectively and efficiently. This will mean that you will provide us with high-level administrative support by maintaining accurate personnel records in our HR system, undertaking weekly reconciliations, conducting research, preparing statistical & weekly/monthly/yearly reports, handling information requests, and performing clerical functions such as designing forms, reviewing documents and preparing various staff letters or other correspondence.

Primary Duties include, but are not limited to:

• Liaising with HOD & Managers to compile Job Vacancy information – internal and external
• Advising and selecting appropriate methods to advertise job vacancies
• Maintaining resource folder for range of recruitment resources
• Updating Recruitment Procedures when necessary
• Filing & archiving of all resumes and applications received
• Replying to all applications and resumes within 7 days of receipt
• Responding to all general recruitment enquiries (Mail/phone/fax/e-mail)
• Arranging, scheduling and conducting recruitment interviews
• Coordinating final approval of applicants with General Manager, Zoo Director, or Owner
• Obtaining reference checking on potential employees
• Offering positions to approved applicants
• Compiling, issuing and signing of employment contracts
• Coordinating all Staff Transfers (Personnel System, Payroll, database, letters/contracts).
• Maintaining the 6 month Employment database and the Recruitment Database
• Responsible for ensuring all contracts are signed, databased, and filed with HR
• Updating job descriptions files for current roles throughout all departments
• Liaise with the Training Manager in regards to Mini Inductions and Full Day Inductions for New Staff
• Inputting data into Payroll System and payroll communications book
• Operating Australia Zoo’s Employment Administration website
• Compile Recruitment Monthly Report
• Monitoring of HR employment email address
• Sharing recruitment information and resumes via Australia Zoo’s email network in accordance with the Privacy act

• Undertake minute taking and recording as directed (eg: Weekly Leadership Meetings, All staff Meetings)
• Organising Monthly All Staff Meetings (nominations, awards, agenda, apologies list, prizes, letters)
• Weekly reconciliation of checking of payroll book against HR personnel system
• Weekly reconciliation of HR 6 month database
• Weekly publishing of all Zoo Staff & Wages List
• Inputting data into HR personnel system (new staff, change of details, training, dept transfers etc)
• Compiling & distributing Staff Birthday Letters
• Compiling & distributing Staff Service Letters
• Assist compiling new staff Induction Kits
• Ensure all HR general forms and letters are available and current in filing drawer/system
• General Office Duties such as typing, filing, mailing, photocopying, faxing, laminating
• Producing and issuing of Staff ID Badges
• Updating and maintaining the Zoo Crew profiles on our website
• Probation reviews: Issuing 3 and 6 month reminder emails, collecting & following up outstanding reports
• SMS Checklist, Department Induction & Emergency Checklist follow up within 1 month of commencement
• Assisting with organising AZ Staff Christmas Party
• Updating and maintaining HR Administrative Procedures
• Maintaining and organizing Personnel Filing Cabinet
• Undertaking Lost Property Procedures each month
• Maintain and co-ordinate Brochure Wall and Display Wall in office

Weekend and public holiday availability and own transport are essential. This position will involve regular weekend work.
• Experience in Recruitment & Selection
• Experience in general HR
• Proficient in Microsoft Office Suite
• HR Management Tertiary qualifications preferred but not essential
• Current 1st Aid qualifications preferred but not essential
• Any other relevant certificates involving Leadership, Training, WHS, counselling, injury management preferred but not essential
