Australia Zoo has an exciting opportunity for an Human Resources Administration Assistant join the Human Resources team.

Reporting to the Chief Human Resources Officer, this role will provide general Human Resources administrative support to the entire Human Resources team to ensure the department operates effectively and efficiently. Previous experience within Human Resources would be preferable.

The successful candidate will have a demonstrated ability to work in a fast paced environment with excellent time management and organisational skills. The ability to work to a high standard whilst maintaining confidentially at all times is essential. Being a team player and possessing a great work ethic will also be highly regarded. Excellent communication skills and the ability to form rapport with both employees and managers is also integral to the role.

Duties Include, but are not limited to –

  • Act as the first point of contact in Human Resources
  • Assist employees with general Human Resources advice
  • Input data into the HRIS system
  • Responsible for scanning all employee paperwork to files
  • Maintain data and searchability in the HR Scan file system
  • Assist with minute taking for meetings/discussions as requested by Chief HR Officer or other HR team members
  • Organise monthly all staff meetings
  • Conduct mini inductions for all new staff
  • Maintain new starter and exit databases
  • Conduct exit interviews for all staff
  • Coordinate staff uniforms
  • Create and publish the weekly staff newsletter- Zoo News
  • Create information requests on HR flare to issue contracts and policies
  • Ensure all HR general forms and letters are up to date
  • General office administrative duties such photocopying, laminating, scanning and shredding
  • Produce and issue staff ID Badges
  • Track employee SMS Checklist, Department Induction & Emergency Checklist and follow up within 1 month of commencement
  • Assist with Australia Zoo Staff Christmas Party including organising staff awards
  • Update and maintain HR administrative procedures when required
  • Coordinate fitness passport program
  • Liaise with the external Wellbeing and Life Coach Coordinator
  • Coordinate employee returned uniforms for Uniform for Kids charity
  • Coordinate and organise animal enrichment opportunities for staff
  • Coordinate and organise social activities such as movie nights
  • Ensure room bookings are made via Google calendar for employee meetings and interviews
  • Liaise with payroll regarding new starters, exits, employee pay queries and separation certificates
  • Assist with drafting and sending all staff emails
  • Compile HR statistical reports and research as requested
  • Assist with staff counselling and performance discussions
  • Assist the Emergency Response Team in 1st Aid incidents when required
  • Undertake and assist with Incident Reporting
  • Assist with organising training needs of employees
  • Assist with the recruitment process including liaising with hiring manager and recruitment coordinator, arranging and conducting interviews and reference checking
  • Assist with the processing of employee wage subsidies
  • Coordinate staff gift vouchers for birthdays and staff awards etc
  • Compile & distribute staff service letters
  • Update and maintain staff phone lists
  • Maintain the highest level of confidentiality and professionalism at all times
  • Maintaining Australia Zoo’s customer service standards
  • Commitment to our privacy and confidentiality policies
  • Ensure company ethics and professional standards are adhered to at all times
  • Working within the guidelines of Workplace Health and Safety procedures
  • Participating in performance training and development reviews or programs as requested by the company
  • Attending meetings as requested by Senior Management
  • Undertaking other duties as requested by Chief Human Resources Officer & Senior Management

Essential Criteria –

  • Hold current Driver’s Licence
  • Available to work weekends, public holidays, and school holiday periods
  • Proficient in the use of Microsoft Office Suite (including Excel, Word, Outlook, PowerPoint etc)
  • Excellent organisational & time management skills
  • Ability to deal with people – having maturity, integrity, compassion and empathy
  • HR and/or Administration experience
  • Proof of Coronavirus vaccination(unless otherwise exempt)

Preferred Criteria –

  • General Human Resources Experience and/or knowledge
  • Any relevant certificates including Human Resources or Business Administration
  • Knowledge of NES, Employment Agreements and Modern awards
  • Drug & Alcohol Testing Accreditation
  • Workplace Rehab and Return to work experience
  • Training Assessor Qualification
  • Current First Aid Qualifications
